The position is open-ended.
The Bundesanstalt für Immobilienaufgaben (BImA) is the federal government's real estate service provider, which supports the real estate policy objectives of the federal government and provides the necessary land and buildings for almost all federal authorities. The department is responsible for supporting security authorities.
What are your main tasks?
- Collaboration in organizational matters relating to technical, commercial and infrastructural building management as well as CAFM matters, including
- Planning and organizing meetings with external participants
- Preparation of minutes, status reports and documentation
- Schedule coordination, schedule controlling
- Researching and processing, summarizing information from the files and planning documents in the inventory
- Creating simple letters on procedural and organizational processes within the department as specified by the head of the department
- Independently obtaining information from users, the building administration and third parties
- Sifting through files and documents, compiling information
- Preparation of letters of simpler content ready for signature according to specifications
- Organization, development and support of the VS registry in compliance with the VS instructions (VSA), willingness to be appointed VS registrar (f/m/d)
- Carrying out key management for all keys of the property management team, including
- Organizing locking authorizations for electronic locking systems as well as access and identification cards in close coordination with access management and key management for users
- Checking access authorization
- Organization and further development of the property management registry (OMT) in compliance with the special requirements of confidentiality protection, among other things
- Maintaining and processing a file directory for all work areas of the property
- Setting up, issuing and returning files and processes and monitoring their whereabouts
- Supporting the OMT management in the quality assurance of the fulfillment of duties in the BImA's area of responsibility
What do we expect?
Qualification:
- Successfully completed 3-year vocational training with a commercial, real estate or (construction) technical focus (e.g. real estate clerk (f/m/d), office management clerk [f/m/d]) or comparable qualification
Professional skills:
- At least three years of relevant professional experience in the described field within the last five years is desirable
- Versatile and thorough knowledge of the following regulations and laws is desirable:
- Confidentiality regulations as well as segregation regulations
- Knowledge of the BHO, the VV to the BHO, financial accounting regulations
- Sound PC skills in standard operating systems and applications such as Microsoft Office
