The position is open-ended.

The Bundesanstalt für Immobilienaufgaben (BImA) is the federal government's real estate service provider, which supports the real estate policy objectives of the federal government and provides the necessary land and buildings for almost all federal authorities. Accordingly, we are represented throughout Germany with over 7,000 employees and take care of a very broad and diverse real estate portfolio as well as the ecological use and maintenance of natural areas of the federal government. Our Facility Management New Buildings division (BEFN) builds, operates and manages a complex portfolio with exciting and diverse properties - from the ministries in Berlin and Bonn, federal courts and research facilities to customs buildings, federal police, the Bundeswehr and the Federal Agency for Technical Relief (THW). In dialog with our customers, we are shaping the path to climate-neutral real estate management.

What are your main tasks?

  • Initiating and monitoring management processes, including
    • Compiling documents for the conclusion of contracts for the management of the technical area of the properties
    • Obtaining offers and preparing the results (negotiation award) or preparing restricted tenders, procurements including awarding contracts according to specifications and in coordination with the operations manager
    • Creating service specifications and service descriptions for the technical area according to the specifications of the operations management; creating orders and purchase orders in coordination with the operations manager
    • Compiling the data relevant for heat cost billing for transmission to the billing company
    • Creating, recording, checking and reporting meter readings for electricity, gas, water, etc.
    • Compiling and allocating the costs of own service personnel, checking time sheets and submitting them to the Organization and Personnel department for payroll accounting after approval by the property management department
    • Checking the content of invoices
    • Certifying the arithmetical accuracy
    • Pre-entering invoices and creating accounting documents for management and building maintenance costs
  • Invoice processing using SAP and the BALIMA IT system, etc.

What do we expect?

Qualifications:

  • successfully completed vocational training with a commercial, real estate or construction focus (e.g. real estate clerk [f/m/d], office management clerk [f/m/d]) or comparable qualification

Professional skills:

  • technical knowledge and practical experience in the structural maintenance of real estate
  • Knowledge of public procurement law, construction contract law, basic business management knowledge
  • Knowledge of SAP desirable, confident working in Word and Excel
